Workflow: Maximizing Incident Reporting, Guard Tour and Dispatch Software Effectiveness

D3’s virtual Security Operations Center (vSOC) is a series of integrated software modules for Incident Reporting, Guard Tour and Dispatch management. To maximize the effectiveness of data collection, the D3 Workflow module, Notifications feature and Analysis Reports engine each provide an effective means to take action upon the collected data.
This latest post explores the practical applications for D3’s Workflow module. D3 Workflow allows customers to configure “if-then” logic within the application to automate the processing of data.
For Incident Management: This logic may be applied universally or selectively, depending upon the business requirement. For example:
• Incidents can be automatically assigned to specific personnel based on Location, Type or any field configured to trigger the workflow.
• More critical incidents, such as Workplace Violence or Theft that involves the loss of personal identifiable information, can be automatically assigned to specific senior-level personnel for investigation and follow-up.
• After entry by field security personnel, incidents may be escalated to supervisors for approval. Workflow will set the status to “pending approval” until approved.
For Guard Tour: This logic can be applied universally or selectively to all checkpoints, as well. For example:
• Fire Extinguisher checkpoints can be configured to collect the last inspection date. If the date exceeds a specified threshold, a Task can be created and assigned to schedule an inspection for the device.
• Emergency Callbox checkpoints can be configured to prompt field security personnel to test the callbox and confirm proper operation. For callboxes that are found to be malfunctioning, a Task can be automatically created and assigned to contact the company responsible for repairing this equipment.
• Temperature Gauge checkpoints can be configured to collect temperature readings. If the temperature is outside a set tolerance, a Task can be created and assigned to maintenance personnel to make adjustments.
Workflow may also trigger Notifications that can be used to alert specific personnel based on criteria such as those listed above. My next post will explore the D3 Notifications feature.
